Cornhusker Motor lines' primary method of getting trip documents from the driver to the office is through remote scanning.  There are three services which make this possible from hundreds of truck stops throughout the country.  The Road Link kiosk allows drivers to scan their own paperwork from any Flying-J.  Transflo Express, from Pegasus Transtech, lets the driver hand their paperwork to a truck stop employee who will scan the documents for them.  Transflo Express is available at any Pilot, Bosselman, or Love's  Travel Centers.  ACS, Also offers scanning service at the fuel desk of most TA, Petro, and Sapp Brothers.  Between these two services there are over 700 locations where paperwork can be scanned.  Additionally, if you can scan the paperwork on your own PC.

These services give both the driver and Cornhusker the fastest, most reliable, and highest quality process possible for managing trip documentation.

 

Benefits

bulletDocument ControlYou maintain control of the documents.  Once scanning is completed, you receive a receipt with a confirmation number.  The confirmation number is proof that the documents were scanned.  It shows where and when the documents were scanned as well as how many documents were scanned.  Additionally, it is a tracking number.  If anything goes wrong, the scanned images can be tracked and recovered using the confirmation number.
With overnight delivery, once you dropped the envelope in the box, there was no way to track it until it was received and process in Omaha.
bulletSpeed:  Paperwork that is scanned at a remote location is received in Omaha within 30 minutes.  This makes it much easier to get trips turned in before the payroll cutoff.  With Trip Pak envelopes had to be dropped off as early as 11:00 AM the day before the cutoff.  By scanning you can get paid for trips that are turned in by 5:00 PM on the cutoff day.  In other words you get paid for trips that delivered as much as a day and half later than before.
bulletNo Copies:  If you want to keep a copy of the paperwork for your own use, there is no longer a need to make copies.  As long as the scanned image is clear and legible, you do not need to turn in originals, ever.   Therefore you can keep the originals as your file copy.
bulletCheaper:  The $12/truck Trip Pak deduction has been replaced by a $10 "document delivery" charge. Further, if you scan at least 6 trips at Flying-J during the month, we will reimburse $7.

Instructions

bulletBefore you scan:  The "trip envelope" has been replaced by a "trip sheet."  This sheet is where you fill in all of your trip information and it is a cover page for the scanned paperwork.  Fill out the trip sheet and gather all of the documents for that trip, including logs.  Sort the paperwork so the trip sheet is on top, all are face up, and the top of the documents all face the same direction (don't turn pages sideways).
It is recommended that you count the number of pages.  Once you finish scanning a get a receipt, the page count should match your initial count.

Paperwork required for fleet owners should be sent directly to them.  Please contact your owner for details on their preferred method.  If this paperwork is scanned, it may result in a chargeback to the owner.

bulletScanning:

Road Link (Flying-J)

  1. Touch the "scanning" or "imaging" button on the screen.
  2. Swipe your TCH card.  The screen will then display your name and company information.  (No money is charged to your card)  If everything is correct, touch "continue."
  3. Enter the trip number.
  4. Select the color of the document that you are about to scan.  This refers to the paper color of the original document, and it will pre-set the contrast level on the scanner.  If there are several colors on the paper pick the one that covers most of the page.  If you guess wrong you will get a chance to change it later.  Some examples are:
    White - trip sheets, logs, fuel receipts, and most BOL's. (most paperwork is white)
    Blue - Maryland toll receipts
    Green - Vitran bills of lading
    Pink - Kellogg's bills of lading
    Yellow - CAT scale receipts
  5. Lift the keyboard to access the scanner and place the first page on the glass.  It should be face down, with the top of the page toward the right.  If the document is not a full page, place it all the way in the upper right corner of the glass.
    You may put more than one receipt on the glass at the same time, as long as they are the same kind of receipt, and they fit on the glass without overlapping.  For example, you can scan several toll receipts together, and you can usually fit more than one fuel receipt at a time.  However, you should not scan a toll receipt with a fuel receipt.  Each day's log should also be scanned separately.
  6. Touch "start scan."  You will hear the scanning working.  Once it is finished it will display the image.
  7. Review the image!  What you see on the screen is exactly the same as what will be sent to Cornhusker.  Be sure the image is right side up, and it can be read.  Remember, if we can't read the documents, we can't pay you for the trip. 
    If the image on the screen is not clear, or it is not right side up, touch "adjust image."  You can then adjust the contrast and/or reposition the origin.  Once you have made the adjustments, touch "scan again."
    When the image on the screen is clear, touch "image OK."
  8. The screen then asks if you have more documents to scan.  Touch "yes" and repeat the process for all documents on the trip. 
    After all pages are scanned, touch "no" on this screen.  Your confirmation number/receipt will then print. 

If you have problems, the phone attached to the kiosk will connect you with a customer service representative.

Transflo Express (Pilot, Bosselman, Love's) & ACS (Petro, Sapp Bros., TA)

  1. Take the trip documents to the fuel desk.
  2. Small receipts can jam in the scanner, so these should be taped for a full sheet of paper.  Paper and tape should be available at the fuel desk.  This is only necessary if the page is not wide enough for the scanner to pick up properly.  It usually is necessary for toll receipts.  It usually is not necessary for fuel receipts.  You can tape several toll receipts on the same page.  Please be sure they all face the same direction.
  3. Stack the paperwork so that all pages are face up, the top of each page faces the same direction (don't turn fuel receipts sideways), and the trip sheet is on top.
  4. Hand the paperwork to the cashier.  They will scan it for you.  when finished they will give you back the originals along with your confirmation number/receipt.

Scan from Home

  1. Scan the documents and save them. 
    Choose black & white, TIF format, and 300 dpi.
  2. Create an e-mail and attach all of the image files.
  3. Send the e-mail to COHM@e-transflo.com
  4. You will receive a return e-mail with the confirmation number on it.
bulletAfter you scan:  Be sure to get a receipt/confirmation number.  Keep the originals and receipt until you get paid for the trip.  If the paperwork is incomplete or can't be read, we will send you a Qualcomm message explaining what is wrong and asking you to try again.  Payment for the trip is confirmation that the paperwork is complete.  You may then dispose of the originals (or retain them for your person files)

If you are not comfortable throwing away the paperwork, you may put it in an envelope and hand drop it the next time you are in Omaha or Paragould.  If you do this, please write "scanned" on the outside of the envelope.

The link to the left contains Cornhusker's trip sheet.  This page should also be used as the cover page when scanning trip documents in a truck stop.
Click on the icon and open the file.  You may print the page on any ink jet or laser printer.  Feel free to print as many pages as you need.  Printed originals will give you better results than photo copies, because the bar code will become unclear after repeated copying.
Please do not fax a blank trip sheet.  The fax machine will distort the bar codes.
